Suspension Files
Suspension Files are one of the most pivotal office supplies any entrepreneur should have in their office. When business moved slower, it made sense to just have manila folders in a cabinet but, as technology has rapidly advanced and the concept of ‘time is money’ is almost a way of life – you do not want to be the cause of making your boss or customers wait for information. Suspension files can turn an already organized (or maybe even highly disorganized) professional into the boss’s favorite employee in no time.

Simple, while most offices have standard manila folders in their filing cabinets, after working one long day of analysis paralysis after another, not everybody has the tenacity to find the one manila folder that looks a little different from all the other manila folders. By adjusting their size suspension files can hold individual or batches of manila folders. Furthermore, while you can label each of the manila folders separately, you are also able to organize by their groupings and label a suspension file accordingly. For example, in accounts and receivable, Mary might have bill piles all over her desk because they were too hard to find before but, with suspension files, Mary could batch her bills by month, company, or service type in manila folders and then, organize them into the appropriate suspension files.
Appropriate suspension files? Yes! There are varieties! You do not even need to keep them all one color – just like the files on your computer, you can make suspension files stand out so you know them without even having to read the label. For example, imagine how easy taxes become when you know which documents belong with each section. An accountant could have a suspension folder for each of their clients and then a file within it for education, work, car, house, etc.
How’s that different from my system already? The accountant would be able to keep track of their progress by getting different colored suspension files. Completed tax packets would be in green suspension files, packets that have not begun would be in red suspension files, and maybe there are documents missing and the accountant is still working on a few packets – those could go in yellow suspension files. Imagine knowing “off the top of your head” the exact status of all your clients at just quick glance.
Additionally, suspension files are not limited to the standard 8.5” x 11” letter sized sheets of paper – just like the manila folders that can fit in them, suspension folders come in a variety of sizes – including the 8.5” x 14” legal size. Beyond having varying lengths, because suspension files can stretch, you do not have to worry about running out of room in your filing system. Suspension files are most popular in the A4 (smaller width of 340mm) and Foolscap (larger width of 405mm) sizes. There are shapes to the files as well – some are square base at the bottom whereas V-base suspension files come to a point. The biggest difference would be your capacity needs – square based suspension files will hold more than V-based suspension files.
